Why agencies switch

Why agency owners are leaving HoneyBook

HoneyBook is a solid tool for sending a contract and collecting a deposit. It was never designed to run an agency.

The pricing has gotten out of hand

In February 2025, HoneyBook nearly doubled its base price overnight — from $19 to $36/month for Starter, with no meaningful new features to justify it. Essentials, the plan you actually need for automations and integrations, runs $59/month. Unlimited team members? That's the Premium plan at $129/month.

On top of the subscription, HoneyBook takes 2.9% + 25¢ on every card transaction through its own processor. An agency billing $30,000/month in retainers pays nearly $900/month in fees — before a single seat. The more successful you get, the more HoneyBook takes.

Project management stops at the signature

HoneyBook's core strength is the clientflow — inquiry to signed contract to deposit. It does that well. But once the contract is signed, most agencies open Asana or Notion to actually do the work. No real timesheets, no task dependencies, no Gantt charts, no team capacity.

Users on G2 flag it consistently: "I wish their task project pipeline was a little more user friendly on the project management side" and "the limited features don't justify the high pricing." The all-in-one promise breaks down exactly when you need it most.

It's primarily a US & Canada product

HoneyBook's payment processing and core financial features are built for US and Canadian businesses. If your agency is in the UAE, UK, Europe or Southeast Asia, you're working around the platform rather than with it.

For a globally minded agency, that's a fundamental limitation — not a minor footnote.

What actually differs

HoneyBook is a booking and billing tool for solo service providers. Heffl is an agency operating system.

Focus

Booking vs. operations

Heffl

Built around the full agency lifecycle. Win a deal in the CRM, convert it to a project, break it into tasks, assign them, track billable hours, invoice against those hours, and collect payment — all without leaving the platform.

HoneyBook

Built around the inquiry-to-booking phase. Smart Files combine proposals, contracts and invoices into one shareable link — genuinely excellent for the initial sale. But the platform's DNA is client-facing documents, not internal operations.

Project management

Basic vs. built for teams

Heffl

Kanban boards, Gantt timeline views, task dependencies, recurring project templates for retainers, built-in timesheets with billable/non-billable tracking, and project-level profitability reporting. Close a deal, convert to a project in one click, full history carries forward.

HoneyBook

A project pipeline — essentially a status tracker for where each client sits in your process. Useful for solo operators, but not sufficient for a team delivering complex, multi-stage work.

Pricing

Flat fee vs. transparent per-user

Heffl

Starts at $12 per user/month on annual billing and integrates with Stripe and Telr — you keep control of your gateway with no platform fee on top. For a small team, Heffl replaces HubSpot, PandaDoc, Asana and Toggl with one login and one bill.

HoneyBook

A high flat monthly fee plus transaction fees on every payment. The more you grow, the more you pay — in subscription tiers and in payment-processing cuts.

Geography

Global vs. US-first

Heffl

Built for global service businesses. Supports Stripe and Telr for collection, works for agencies in the UAE, UK, Europe and beyond, and doesn't restrict core features based on where you're incorporated.

HoneyBook

Payment processing and core financial features are built for US and Canadian businesses first.

Who should choose what

Both are good at what they were built for. The question is what you were built for.

HefflBest for agencies

Choose Heffl if…

You run an agency with a team and need more than a booking tool. Your work involves ongoing project delivery, billable hours, recurring retainers and people collaborating on client work.

  • One platform from first lead to final invoice
  • No separate project management tool to maintain
  • You operate globally or outside the US & Canada
HoneyBookBest for solo creatives

Stick with HoneyBook if…

You're a solo creative whose workflow is: receive inquiry, send proposal, collect deposit, deliver, collect final payment. In that specific context, HoneyBook is genuinely good at what it does.

  • Your projects are simple and your team is just you
  • US-focused payment processing works for your market
  • You don't need timesheets, retainers or task pipelines

Hit the HoneyBook ceiling?

Agencies often start on HoneyBook when they're small, then find themselves paying more and more as they grow while the platform's limits become more visible. If that's you, Heffl was built for exactly where you are now.
