Connect the mailbox you actually use

  1. Open email account settings in Heffl and choose the Microsoft two-way connection.
  2. Select a personal or shared mailbox, set visibility and choose the available history window.
  3. Complete Microsoft sign-in with an account authorized for that mailbox. Your organization may require administrator approval.
  4. Return to Heffl and confirm that the account is connected and the expected threads have synced.

A personal connection must match the mailbox selected in setup. For a shared mailbox, sign in as yourself with Full Access to the selected mailbox.

Test the sales workflow before relying on it

  • Find one recent customer email and one older thread within your selected sync window.
  • Link a thread to the correct contact or deal and verify the relationship.
  • Save a reply draft and check it before sending.
  • Send a test message to an address you control, then confirm the conversation appears as expected.

Resolve connection issues with the right context

If a connection fails, check the selected mailbox address, Microsoft sign-in account, organization approval requirements and shared-mailbox access. Reconnect through Heffl’s account settings when authorization expires.

Contact support with the provider, mailbox type and visible error. Do not send passwords or access tokens. If you are switching from Pipedrive, treat mailbox sync separately from the CRM record import.

Is Microsoft two-way sync different from a send-only account?

Yes. Use the Microsoft two-way connection to sync incoming email into the inbox. A send-only connection does not provide the same incoming-mail workflow.

Can I connect a shared Microsoft mailbox?

Heffl offers a shared Microsoft mailbox connection. Sign in with your own Microsoft account that has Full Access to that mailbox. The selected shared mailbox is synced; confirm team visibility and mailbox allowances before connecting.

Will all historical emails appear?

The connection has a configurable history window. Check the available window, mailbox retention and sync result during setup. Do not assume it reproduces every historical email or the activity history from a previous CRM.
