Keep the reply specific

A useful follow-up names the customer’s goal, addresses one open point and suggests a clear next step. Replace every placeholder below and remove anything you cannot support from the conversation.

After a discovery call

Subject: Our next step on [goal]

Hi [name],

Thanks for explaining [specific need]. We agreed the next step is [action] by [date].

After a proposal

Would [option A] or [option B] make sense for a review? If your timing has changed, let me know and I’ll update the next step.

Before sending: Use the buyer’s real open question. Check scope and price against the current proposal.

When the timing has changed

Subject: Should we revisit [goal] later?

Hi [name],

When we last spoke, you were working toward [goal]. Is that still a priority, or would a later conversation be more useful?

If the timing has changed, I’m happy to update my follow-up plan.

Before sending: Respect a decline or opt-out. Avoid inventing urgency or repeatedly sending the same message.

When should I follow up?

Start with the date or next step agreed with the buyer. If none was agreed, use the context and urgency of the actual conversation. Avoid a fixed automated cadence that ignores replies, declines or opt-outs.
