Start with these five stages

Make the next action visible
For each open deal, record the owner, next action and due date. Use evidence from the customer conversation to change the stage. A sent email alone does not mean the buyer has progressed.
Review overdue next actions and deals with no recent customer response each week. Keep won and lost outcomes separate from open stages so your pipeline reflects work still in progress.

How many stages should a small sales team use?
Start with a few stages that describe real buyer progress. Every stage should have an entry rule, an exit rule, an owner and a next action. Add stages only when they change what your team does.
